Privacy Policy

AI Talent Pro is recruitment software operated by The Resource Group. This policy explains what personal data the service handles, why, who it is shared with, and the choices you have.

Who is responsible for your data

Recruitment businesses that subscribe to AI Talent Pro (our customers) decide which candidates, contacts and roles they keep in it. For that data the customer is the controller and The Resource Group processes it on the customer's instructions. For the accounts of people who sign in to AI Talent Pro, The Resource Group is the controller. If you are a candidate and want to know what a recruiter holds about you, contact that recruiter, or write to us and we will pass your request on.

What we collect

  • Account details for users: name, work email address, company, role and sign-in records.
  • Candidate information that our customers add: CVs and the details in them, contact details, notes, interview records, scorecards and the history of each application.
  • Job and client information that our customers add.
  • Data from accounts you choose to connect (Google, Microsoft, an IMAP mailbox, Calendly), limited to what is described below.
  • Technical data needed to run and secure the service, such as a session cookie and server logs.

How we use it

  • To provide the service: storing records, matching and ranking candidates against roles, scheduling interviews and sending the emails you ask us to send.
  • To analyse CVs and job descriptions with AI so recruiters get a structured assessment. A recruiter always makes the hiring decision; the AI output is advice.
  • To keep the service secure, fix problems and send service notifications.

We do not sell personal data and do not use it for advertising.

Google user data

If you connect a Google account, AI Talent Pro asks only for these permissions:

  • Sign-in identity — Confirms which Google account you connected.
  • Email address — Shows which address your messages are sent from.
  • Name — Shows the name on the connected account.
  • Send email on your behalf — Sends the emails you choose to send from AI Talent Pro (for example an interview invitation) from your own mailbox. AI Talent Pro does not read, search or delete your mail.
  • Calendar events — Adds, updates and cancels the interview and placement events you create in AI Talent Pro on your calendar.
  • Free/busy times — Reads only whether you are busy or free, so hiring-team members who choose to share their diary can find a time that suits everyone. Event titles and details are not read.

AI Talent Pro's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Google user data is used only to provide the features above to you. It is not sold, not used for advertising, not read by people except where you ask us to help or the law requires it, and not used to develop, improve or train generalised AI or machine-learning models.

Microsoft account data

If you connect a Microsoft 365 or Outlook account, AI Talent Pro asks only for:

  • User.Read — Confirms which Microsoft account you connected and its address.
  • Mail.Send — Sends the emails you choose to send from AI Talent Pro from your own mailbox. AI Talent Pro does not read your mail.
  • Calendars.ReadWrite — Adds, updates and cancels the interview and placement events you create in AI Talent Pro, and checks busy times when you schedule.
  • offline_access — Keeps the connection working until you disconnect it.

The same limits apply as for Google data: used only for these features, never sold and never used to train AI models.

Accounts connected before October 2026 may still hold wider mail permissions from an earlier version of AI Talent Pro. The app does not use them, and asks you to reconnect so they are replaced with the permissions above.

IMAP mailboxes

If you connect a mailbox using IMAP (a server address and password), AI Talent Pro imports new messages from its inbox into AI Talent Pro and sends the emails you choose to send. It opens the inbox read-only: it never marks, moves or deletes your mail. The password is stored encrypted and is deleted when you disconnect the mailbox.

Calendly

If you connect Calendly, AI Talent Pro reads the events booked through your Calendly links, including the invitee's name and email address, and registers a notification so new bookings show in AI Talent Pro. It does not change your Calendly events.

Who we share data with

We use these service providers, each under a contract that limits use to providing their service to us:

  • Vercel — Hosting and running the application (United States and European Union)
  • Supabase — Database and file storage (including CVs) (European Union (Frankfurt))
  • Amazon Web Services — Encrypted backups (United Kingdom (London))
  • Anthropic — AI analysis of CVs and job descriptions, and AI writing help (United States)
  • Brevo — Sending system notification emails, and receiving CVs emailed to job application addresses (European Union)

Our AI provider processes the text we send for each request and does not use it to train its models. Where data leaves the UK or the European Economic Area, we rely on recognised safeguards such as the UK International Data Transfer Addendum or the EU Standard Contractual Clauses.

How long we keep it

Customers decide how long candidate records are kept and can remove a candidate, a CV or a role from use at any time. If you need data permanently erased, email us and we will do it. Backups are kept only as long as needed to restore the service. You can disconnect a Google or Microsoft account at any time in Settings → Email, after which AI Talent Pro stops using it, and you can remove its access entirely from your Google or Microsoft account security settings.

Security

Data is encrypted in transit and at rest. Each customer's data is kept separate from every other customer's, and access within a customer is limited by role.

Your rights

Under UK and EU data protection law you can ask to see, correct, delete or export your personal data, object to or restrict its use, and complain to the Information Commissioner's Office (ico.org.uk) or your local supervisory authority. To make a request, email info@ai-talentpro.com.

Cookies

We use only strictly necessary cookies: to keep you signed in, to secure sign-in and account connections, and to remember your display theme. We do not use advertising or tracking cookies.
